Logistics & Scheduling Coordinator

Responsibilities

Working on a full-time basis and reporting to the Senior Partner, the chosen candidate will be

Responsible for the following duties:

  • Schedule and assign team members to various projects and client locations daily.
  • Understand client needs, project scopes, and required tools/equipment to match our personnel appropriately.
  • Optimise travel routes and time management based on geographic knowledge.
  • Ensure all necessary equipment and documentation are arranged or communicated before deployment.
  • Maintain real-time updates of team members’ availability and job status.
  • Serve as point-of-contact for our team members in the field regarding directions, resources, or changes.
  • Coordinate with internal departments and clients to anticipate needs and address any on-site issues swiftly.
  • Plan and assign daily consultant deployments across client sites based on availability, expertise, location, and job requirements.
  • Ensure that all relevant equipment, PPE, and site-specific requirements are communicated and arranged ahead of time.
  • Maintain an accurate and up-to-date scheduling system reflecting consultant availability and project timelines.
  • Liaise with clients and internal project managers to confirm details and resolve any logistical challenges.
  • Support consultants in the field with directions, updates, or logistical queries as needed.
  • Anticipate issues and provide real-time solutions to minimise service disruptions.

Requirements

  • In-depth knowledge of local geography and travel patterns across Malta and Gozo.
  • Familiarity with common field/service equipment (e.g., PPE, instruments, tools) and job site setups.
  • Strong logistical planning and problem-solving skills.
  • Prior experience in scheduling, dispatching, or operations (especially in a service or consultancy environment).
  • Good communication and interpersonal skills, both written and verbal.
  • Comfortable using scheduling software, Excel, and communication tools (e.g., Teams, WhatsApp).
  • Familiarity with equipment and materials commonly used in technical, consultancy, or field service roles.
  • Strong organizational skills and ability to prioritize under pressure.
  • Proficiency in Microsoft Excel, scheduling tools, and digital communication platforms.
  • Excellent interpersonal and communication skills in both English and Maltese.
  • Proven experience in logistics, coordination, dispatching, or operations support is preferred.
